Protecting client information
What you are actually holding when you keep client records, and the habits that keep it safe without slowing you down.
You hold more than a phone number
A beauty business accumulates unusually sensitive information: contact details, photographs, allergy and sensitivity notes, product reactions, and a record of where someone will be at a specific time. That combination deserves care.
BeautyOS keeps private notes, contact details, appointment history and consent records inside your business only. None of it appears on your public site, your Style Wall or the marketplace.
Consent is per use, not once forever
A client agreeing to a photo on your Style Wall has not agreed to appear in a paid advertisement. BeautyOS records consent separately for each use, with the date it was given, so you can answer the question later.
Ask in the moment, record it immediately, and honour a withdrawal quickly when someone changes their mind.
- Style Wall and social media are separate permissions
- Consent records include what was agreed and when
- Withdrawing consent pulls the content from public view
Notes should be professional, not personal
Write notes you would be comfortable having read back to you: formulas, timings, sensitivities, preferences, what worked and what did not. Skip commentary about a person’s life, appearance or circumstances.
This is not only courtesy. Records tend to outlive the relationship, and staff turnover means other people will read them.
Access should match the role
A front-desk role does not need to see revenue reports. A newly hired stylist does not need to export the full client list. Give people the access their job requires and adjust when the job changes.
When someone leaves, remove their access the same day. BeautyOS logs administrative actions, so there is a record of who did what.
Your data stays yours
You can export your clients, appointments and financial records at any time. BeautyOS does not sell client data, and does not use one business’s client records to advantage another.
